This page describes what FieldPass HQ at https://fieldpasshq.com collects, what is public, and how a coach can ask for access, correction, or deletion.

FieldPass HQ is the operating site for one baseball club or one high school program. A coach creates one free program and any number of teams. Public pages show that program's schedule, roster, coaches, tryouts, commits, news, and sponsor. There is no payment, no ads, no texting, and no player or parent accounts. The only file upload is one optional image on a uniform piece. Baseball only.

AmyoSport is a separate public directory. FieldPass reads a park name from AmyoSport by park id. When a coach chooses an existing club, high school, or college, FieldPass also reads that name. It does not add clubs, high schools, or colleges to AmyoSport. It does not send rosters, accounts, or other personal data to AmyoSport, and it does not operate amyosport.com.

The site is hosted in the United States.

Coach account

A coach account has a name, an email, a hashed password and/or a social login, and a verified-at time. Social providers that may be turned on are Google, Facebook, and Twitter. The provider user id is stored. Access tokens and refresh tokens are not stored. Instagram is not offered.

Each provider receives the sign-in request. FieldPass stores only the account fields listed above.

The founder has a separate password and can open every program. There is one founder login, not a second coach role. The founder password is not a coach account.

Roster and listings

Players do not have accounts. A roster row stores first name, last name, a hide-last-name flag, an optional jersey number, and an optional level. Player rows do not store a birth date, phone, email, parent contact, address, or school id. A team membership may store an optional birth date and an optional parent or guardian name. Those notes are not on the public page.

Public pages hide the last name for club players 14U and younger, and for a blank or "other" level, unless the program is a high school. Varsity and JV last names are shown.

This site is not COPPA-certified. Children can be named on a roster. The coach is responsible for having permission to post a minor's name.

Coach, tryout, and commit listings store a display name, an optional detail, and an optional date and time. A coach can be listed on more than one season, with a role for that season. They do not store phone numbers or email addresses.

A program can store a sponsor name and a sponsor email link. News is text the coach posts. Games store date, time, opponent, field, scores, and an optional GameChanger web link. FieldPass does not fetch GameChanger accounts.

An activity log stores who did it, created, updated, or deleted, the record type, and a short label. It does not store passwords, tokens, or a player phone.

Password reset stores a token only when email delivery is turned on.

What is public

Public program pages show the schedule, roster (with the last-name rule above), coaches, tryouts, commits, news, and sponsor name. A sponsor email link is public if the coach posts it. A GameChanger web link is public if the coach posts it. The link text does not mean FieldPass fetches a GameChanger account. Public program pages show nothing about birth dates, parent or guardian names, agreements, or fees. A uniform image is on the public page only when the coach marks that piece Public image.

Sample pages at https://fieldpasshq.com/t/demo-baseball and https://fieldpasshq.com/t/demo-high-school are sample data, not real children. Live programs created by coaches are real.

What is only for the coach and founder

Coach account email, hashed password, social provider user id, verified-at time, and the activity log are not public program content. A birth date and a parent or guardian name are shown only to the coach and the founder. Agreement text, an agreement page link, and fee notes stay with the coach and the founder. Payment collection is not available. The founder can open every program. Players cannot sign in.

Cookies and fonts

The session cookie is fieldpass-hq-session. It is HTTP-only, Secure, and SameSite=Lax. There is no advertising cookie and no analytics product in the app. Pages load fonts from fonts.googleapis.com.

How long it is kept

Account, program, roster, schedule, news, sponsor, agreement, fee note, uniform image, and activity log data are kept while the program or account exists. Password reset tokens are kept only when email delivery is turned on, and only for the reset. Sample demo programs are not a user's data.
